What This Therapy Productivity Calculator Estimates

This calculator estimates current productivity percentage, effective worked minutes, required billable minutes for your target, minutes short or over target, target end time, and adjusted billable minutes for optional concurrent or group treatment credit.

Therapy Productivity Formula

Productivity % = billable therapy minutes / effective worked minutes x 100.

Required billable minutes = effective worked minutes x target productivity.

Target end time = start time + billable minutes / target productivity + unpaid lunch.

How Lunch Breaks Affect Productivity

If lunch is unpaid, it normally should not count as worked time for the productivity denominator. If your facility counts lunch as paid work time, mark lunch as paid or set lunch to zero. Always follow your employer policy.

Concurrent, Group, and Documentation Time

Concurrent therapy, group therapy, co-treatment, student treatment, documentation, and travel can be credited differently depending on setting, payer, and facility policy. The advanced fields apply the credit percentage you enter, but they do not determine compliance rules.

Methodology and Limitations

  • Billable minutes are the direct or credited treatment minutes entered by the user.
  • Effective worked minutes are shift minutes minus unpaid breaks.
  • Productivity is billable minutes divided by effective worked minutes.
  • Policy varies. Follow your facility policy, employment agreement, payer rules, and applicable clinical guidelines.

Frequently Asked Questions

What is therapy productivity?+

Therapy productivity is commonly calculated as billable therapy minutes divided by effective worked minutes, multiplied by 100.

How do you calculate productivity in therapy?+

Use the formula billable minutes / worked minutes x 100. If lunch is unpaid, subtract it from worked minutes. If lunch is paid or counted as work time, keep it in worked time.

How do I calculate productivity with lunch break?+

Enter your start time, end time, billable minutes, and lunch minutes. Choose whether lunch is unpaid or paid so the calculator can include or exclude it from effective worked time.

How many billable minutes do I need for 85% productivity?+

Multiply your effective worked minutes by 0.85. The calculator shows required billable minutes and whether you are short or over target.

Does documentation time count against productivity?+

It depends on your facility policy. Many productivity systems treat documentation as non-billable time unless it is credited. This calculator shows time math only.

Can PT, OT, SLP, PTA, and COTA use this calculator?+

Yes. The calculator is designed for therapy schedules that track billable minutes, target productivity, lunch, documentation, and optional concurrent or group credit.
